Company Background Questions
Company background questions will help you discover if there’re someone you can trust.
1. How large is your company?
You need to know how large the MSP you’re talking to is to verify if they’re staffed with enough people to fulfill their promises.
2. How long has your company been in business?
MSPs leverage their experience in the field to gain clients. Knowing how long they’ve been in business is a good indicator of this experience.
“It also helps give you confidence that they'll be around long term,” Rhea said. "If they're a brand-new MSP, you don't know how long they're going to last.”
3. What are your qualifications?
Just like you wouldn’t hire a team member if they couldn't do the job, don’t hire an MSP that can’t prove their qualifications.

4. Do you have client stories and reviews?
Ask to see case studies or success stories of companies that they’ve helped in the past. If possible, call those companies and verify if they still recommend working with this MSP.
5. What kinds of services do you specialize in?
Review what services they provide. Some MSPs might provide specialized services like data analytics but you’ll need to ask about your requirements.
“As an example, network engineering or Apple support aren’t that common. But if those are your needs you want to make sure that the MSP has that expertise in-house. So, knowing what they specialize in is important,” Rhea said.
6. What are your company’s Core Values?
Check a company’s Core Values to see if they are compatible with yours – especially if you’re a non-profit. Understanding the alignment between your company cultures is a good starting point for evaluating your possible partnership.
7. How would you solve this IT problem?
An MSP’s potential actions about a specific IT issue will reveal a lot about their organization. What are your actual challenges and how will a potential MSP resolve the issue?
Once an MSP gives their solutions, is it in line with what you need? Do their answers give you confidence?
If the answer is yes to these questions, you’re on the right path to a great MSP.
Pricing Questions
Some MSPs have a cost page, but most MSPs require a discovery call before giving a quote. This industry practice makes the following questions even more important.
8. What are the prices of your services?
A clear cost breakdown for services will help you decide if an MSP’s offer is worth it.
Is their asking price reasonable when compared to the problems you need to solve?
“I would pay a dollar for an Advil to get rid of a headache,” Rhea explained, “but I would give my entire life's fortune to get rid of a brain tumor.”
Based on their price transparency you’ll be able to tell: are they straight-up too expensive? Are they promising the stars for a suspiciously low price? Or does their bid sound right?
9. How much is your onboarding fee?
Most MSPs have an onboarding fee that’s separate from the services they charge you for. You need to know how much to budget for and ensure you’re receiving appropriate value for your investment.

10. What costs aren’t included in your sample pricing?
Asking your MSP to lay out all the prices is part of building trust; if they suddenly reveal other expenses down the line – even after you have asked this question – you know price surprises are something you’ll encounter again.
11. Why are you charging those kinds of prices?
If an MSP cannot justify why they’re charging their fees, that’s a big red flag. Best in class MSPs know exactly where your money is going, and how you’ll reap the benefits.
12. Will we save money with your services? Why or why not?
Most businesses will automatically answer yes, MSPs save you money. But that’s not always the case.
“Mostly, you’ll save money if you're going from having an internal IT person to an MSP,” Rhea said. “But if you're switching from one MSP to the other, there's going to be a difference in cost.”
Some MSPs will have a higher dollar figure with a corresponding increase in the scope or quality of their services. You’ll have to evaluate why the price point is higher or lower, if it’s worth it, and if the MSP has enough confidence in their services to provide an honest answer to this question.
Service Questions
After clarifying concerns regarding the price of services, you need to get a good picture of the MSP’s suite of services and how they are delivered and supported.
13. How long does onboarding and offboarding take?
Knowing how long onboarding and offboarding usually takes will help you manage your schedule and set the right expectations.
“Some companies will rush it by just installing tools so they can bill you right away,” Rhea warned. “But if they miss something during onboarding, it's going to be a lingering issue. It’ll ruin your relationship.”
They need enough time to do it right, or they’ll have to do it twice.
14. How long does it take to complete projects?
Asking how long they take to complete projects will help you estimate if it’s worth waiting for them. Take note of the tasks you need to get done, the timeframe you need them done, and see if the MSP you’re talking to can successfully deliver expected outcomes.
15. What is your response time for critical issues?
One of the main selling points of MSPs is their fast resolution of IT issues. Having 24/7 availability isn’t worth a lot if they take an unreasonable amount of time to resolve your problems.
16. What are the details of your onsite services?
Most MSPs default to remote diagnostics before sending onsite technicians. Ask this question if having onsite services is important to your business.

17. Do you provide reports for your service?
Ask if the MSP offers client reporting on their service delivery performance. These reports will allow you to check if they provide appropriate ROI for their services.
18. What are the different ways I can contact your support desk?
Efficient MSPs have different ways you can contact them and have a set process for getting your issues resolved. Most will provide email and phone support.
19. What strategic IT advice can you offer to help my business stay competitive?
In any conversation with an MSP, talk about where your business is headed, and find out how forward-thinking they are.
“Expect your MSP to be a strategic and proactive partner - not a reactive vendor,” Rhea advised.
20. What are the pros and cons of having you handle all our IT needs?
Most MSPs will immediately have a ready list of pros. But this question will reveal whether a company is objective about their services and puts your needs first.
The best MSPs will ask for context, see what they can and can’t provide, then give you an answer.
